These Travel Planning Terms of Service (“Terms”) govern travel-planning and travel-advisory services provided under the name Adventure Vacations by Stacey, a service of Sovereign Journeys Travel, LLC (“Adventure Vacations,” “we,” “us,” or “our”).
By paying a planning fee, approving a proposal, authorizing a reservation, or otherwise engaging our services, you (“Client,” “Traveler,” or “you”) acknowledge that you have read, understood, and agreed to these Terms on behalf of yourself and every traveler included in your request.
Adventure Vacations by Stacey provides personalized travel planning, itinerary design, destination recommendations, accommodation selection, supplier coordination, and other travel-advisory services.
The exact scope of your services will be described in your proposal, invoice, service agreement, or written correspondence. Depending on the package selected, services may include:
Unless expressly included in writing, our services do not include legal, medical, immigration, financial, security, or insurance advice.
The Curated Journey is a collaborative planning service for travelers who want expert direction and a personalized itinerary while managing selected arrangements themselves.
We will assist with accommodation selection and booking, itinerary structure, destination guidance, and vetted recommendations. The Client remains responsible for booking and managing any dining, activities, local transportation, or other components not specifically included in the proposal.
Because accommodations affect the location, pacing, logistics, and overall quality of the itinerary, all accommodations included in a Curated Journey must be reserved through Adventure Vacations unless we agree otherwise in writing.
Planning fees currently start at $500, subject to trip length, number of travelers, number of destinations, complexity, and requested level of support.
The Signature Journey is a full-service planning experience in which we coordinate the major elements of the vacation, which may include accommodations, private guides, transfers, activities, dining reservations, cruises, and other travel arrangements.
Because accommodations affect the location, pacing, logistics, and overall quality of the itinerary, all accommodations included in a Signature Journey must be reserved through Adventure Vacations unless we agree otherwise in writing.
Planning fees currently start at $500, subject to trip length, number of travelers, number of destinations, complexity, and requested level of support.
The Signature Journey includes reasonable pre-departure support and assistance during travel as outlined in the Client’s individual proposal. It does not constitute around-the-clock emergency response unless that service is expressly included in writing.
Planning fees compensate us for our professional expertise, research, itinerary design, supplier communication, administrative work, and support. These fees are separate from the cost of accommodations, transportation, cruises, tours, activities, insurance, and other travel services.
The Client’s planning fee must be paid in advance before substantive planning begins. Unless otherwise stated in writing, planning fees are nonrefundable because we reserve time and begin professional work upon engagement.
Work outside the agreed scope—including additional research, major itinerary changes, extra meetings, supplier changes, or project management—may be billed at $140 per hour in 15-minute increments. We will notify the Client before beginning material work that will incur additional hourly charges.
Planning fees may change over time. The fee stated in the Client’s accepted proposal or invoice will control for that engagement.
New clients may be required to complete an onboarding consultation before planning begins. The purpose of this consultation is to understand the Client’s travel preferences, priorities, budget, timing, accessibility needs, and expectations.
After onboarding, we will confirm the recommended service, scope of work, planning fee, and estimated timeline. Turnaround times are estimates and may depend on the Client’s responsiveness and the availability of information from travel suppliers.
The Client agrees to provide timely, complete, and accurate information. Delays in responding, changing travel dates, altering the destination, or materially revising the trip may affect the delivery timeline and require an additional fee.
The number of revisions included will be stated in the Client’s proposal. A revision means a reasonable adjustment to the existing trip concept, not the creation of a substantially different itinerary.

Once a reservation has been made, all changes are subject to supplier availability, terms, penalties, fare differences, and change fees.
All travel prices and availability are subject to change until a reservation is confirmed and any required deposit or payment has been received.
Quoted prices may be affected by currency fluctuations, taxes, resort fees, fuel surcharges, government fees, supplier increases, seasonal pricing, and changes requested by the Client. Unless expressly stated otherwise, pricing is based on the number of travelers, room configuration, dates, and other details supplied at the time of the quote.
We do not guarantee that a previously quoted price or experience will remain available.
Travel services may be paid directly to the applicable supplier, processed through an authorized travel partner or host agency, or charged using payment information authorized by the Client.
The Client authorizes us to provide payment information to approved suppliers when necessary to complete authorized reservations. We will not knowingly make a charge without the Client’s authorization.
The Client is responsible for reviewing all invoices, payment schedules, confirmations, and cancellation terms. Missed payment deadlines may result in cancellation or loss of deposits.
Certain travel reservations may generate commissions, preferred-partner benefits, or other compensation from hotels, cruise lines, tour operators, or travel suppliers.
The possibility of receiving compensation does not change our commitment to recommending options we believe are appropriate for the Client’s stated preferences, budget, and travel goals. Planning fees compensate us for professional services regardless of whether a particular reservation is commissionable.
Adventure Vacations acts as an advisor and intermediary between the Client and independent travel suppliers. These suppliers may include airlines, hotels, cruise lines, tour operators, guides, transportation providers, restaurants, insurance companies, and destination management companies.
We do not own, operate, manage, or control these independent suppliers. Each supplier provides its services under its own terms, conditions, cancellation policies, and limitations of liability.
To the fullest extent permitted by law, we are not responsible for the acts, omissions, negligence, insolvency, service failures, schedule changes, overbooking, strikes, closures, injuries, property damage, or other conduct of an independent supplier. Nothing in these Terms waives any nonwaivable consumer right or legal responsibility imposed by applicable law.
Travel reservations are subject to the cancellation and refund policies of the applicable supplier. Deposits and payments may be partially refundable, nonrefundable, or transferable only as permitted by that supplier.
Adventure Vacations does not control supplier refund decisions or processing timelines. We will provide reasonable assistance with eligible cancellation, credit, or refund requests but cannot guarantee the outcome.
Our planning fees are separate from supplier charges and remain nonrefundable once paid, except where otherwise required by law or expressly agreed in writing.
If the Client initiates a chargeback relating to an authorized and properly delivered planning service or travel reservation, the Client remains responsible for the underlying amount, applicable supplier penalties, and reasonable costs incurred in responding to the chargeback, to the extent permitted by law.
Nothing in this section limits any refund right provided under applicable federal or state law.
Travel involves financial and personal risks, including cancellation, interruption, illness, injury, delayed transportation, missed connections, lost baggage, supplier default, emergency evacuation, and unexpected changes.
We strongly recommend that every traveler purchase comprehensive travel insurance promptly after making the first trip payment. Depending on the policy, coverage may include trip cancellation or interruption, medical expenses, emergency evacuation, baggage, delays, and supplier default.
Certain benefits or waivers may only be available when insurance is purchased within a limited period following the initial trip deposit. “Cancel for Any Reason” coverage, when available, generally must also be purchased within a specified period and may not reimburse the entire trip cost.
Insurance policies contain exclusions and limitations. The Client is responsible for reviewing the policy and confirming that it meets their needs. If the Client declines insurance, the Client accepts the financial risks associated with cancellation, interruption, medical emergencies, and other uninsured events.
Adventure Vacations is not an insurance company and does not make coverage determinations.
Each traveler is responsible for obtaining and carrying all required documentation, including:
Passport, visa, transit, and entry requirements vary by traveler and may change without notice. Names provided for reservations must match the traveler’s government-issued identification exactly.
We may provide general information as a courtesy, but the Client is responsible for verifying current requirements with the appropriate government authorities. We are not responsible for denied boarding, denied entry, deportation, fines, delays, or losses caused by missing, expired, inaccurate, or insufficient documentation.
The Client must disclose any mobility limitations, dietary requirements, allergies, medical concerns, or accessibility needs that may affect travel planning.
We will make reasonable efforts to identify suitable options and communicate requests to suppliers, but we cannot guarantee that a destination, property, vessel, vehicle, guide, or experience will accommodate every need.
Travelers are responsible for determining whether they are physically and medically able to participate in planned activities and for obtaining appropriate medical advice before travel. We do not guarantee the safety of any destination or activity.
Conditions at a destination may change due to weather, natural disasters, political events, civil unrest, crime, public-health concerns, labor disputes, infrastructure failures, or government action.
The Client is responsible for reviewing official travel advisories, health information, and destination requirements before departure. Choosing to travel after being informed of relevant conditions is the Client’s decision.
We are not responsible for delay, disruption, loss, or failure to perform caused by circumstances beyond our reasonable control. These may include severe weather, natural disasters, epidemics, pandemics, war, terrorism, civil unrest, government restrictions, border closures, strikes, supplier insolvency, transportation interruptions, or similar events.
When an unforeseen event affects a trip, we will make reasonable efforts to assist the Client. Additional planning, rebooking, or itinerary-redesign work may be subject to additional fees. Supplier penalties and price differences remain the Client’s responsibility unless waived or refunded by the supplier.

We may terminate services if a Client engages in abusive, threatening, discriminatory, fraudulent, or unlawful conduct. Planning fees already earned will not be refunded.
The Client must review all travel documents and notify us promptly of any error. We will make reasonable efforts to correct errors brought to our attention.
We are not responsible for losses caused by inaccurate information provided by the Client, the Client’s failure to review documents, or errors not reported within a reasonable time before travel.
Custom itineraries, written recommendations, destination research, planning documents, templates, and other original materials created by Adventure Vacations are provided for the Client’s personal use.
They may not be copied, republished, resold, distributed commercially, or used to create services for others without our written permission. The Client may share the itinerary with travelers participating in the same trip.
Third-party photographs, maps, descriptions, and supplier materials remain the property of their respective owners.
The Client consents to receive service-related communications by email, telephone, and text message at the contact information provided. These communications may include consultation reminders, payment notices, itinerary updates, confirmations, and urgent travel information.
Consent to receive promotional messages is not required to purchase services and will be handled separately where required by law.
To the fullest extent permitted by law, Adventure Vacations will not be liable for indirect, incidental, special, punitive, or consequential damages, including lost enjoyment, lost income, missed opportunities, or emotional distress arising from travel services or supplier conduct.
To the extent Adventure Vacations is found directly liable for a claim arising from its own services, its aggregate liability will not exceed the professional planning fees actually paid by the Client for the affected trip, except where a different limitation is required by law.
Nothing in these Terms excludes liability that cannot legally be excluded or limited.
These Terms are governed by the laws of the State of California, without regard to conflict-of-law principles.
Before filing a legal claim, the parties agree to make a good-faith effort to resolve the dispute informally. The Client should submit written notice describing the issue and requested resolution to hello@.
Any legal proceeding that cannot be resolved informally will be brought in a court of competent jurisdiction in [SANTA BARBARA COUNTY], California, unless applicable law requires otherwise.

Required California disclosures may also appear on invoices, proposals, booking confirmations, or other transaction documents and are incorporated into these Terms.
We may update these Terms periodically. The version in effect when the Client pays the planning fee or authorizes services will generally govern that engagement, unless a change is required by law or agreed to in writing.
If any provision of these Terms is held unenforceable, the remaining provisions will remain in effect.
These Terms, together with the accepted proposal, invoice, supplier terms, and written scope of services, constitute the agreement between the Client and Adventure Vacations concerning the planning engagement. If a specific written proposal conflicts with these Terms, the proposal will control regarding the scope, pricing, and included services for that engagement.
By paying a planning fee, approving a proposal, authorizing a reservation, or instructing Adventure Vacations to begin work, the Client confirms that they:
